METEOR Policy on Data collection, storage, and use

METEOR is committed to protecting and respecting privacy. We comply with applicable data privacy legislation in regards to processing personal data.

This Policy explains when and why we collect and store personal information, what data is stored and how we keep it secure, how we use it, the conditions under which we may disclose it to others, and how you can request access to your data or have it removed.

This policy will be reviewed annually and updated if necessary. The latest version will always be available on the METEOR website. By using our website or its contact forms, you’re agreeing to be bound by this Policy.

How do we collect information from you?

We obtain information about you when you visit our website, register for an event, sign-up to receive our newsletters, or express interest in learning more about METEOR in any other way. We may also collect your information when you contact us about our programmes, activities or publications. In some cases, we may collect publicly available data about organisations and individuals directly involved in our work.

What type of information is collected from you?

The type of information that is collected may include, for example:

If an individual chooses to provide personal information, this is also stored. When you register for an event, we may record special requirements, for example, relating to dietary and mobility/access needs. If they choose, an individual may send other information to be recorded – however this is not standard practice.

Information regarding what web pages are accessed and when is collected for website analysis purposes but anonymised.

How is your information used?

We may use your information to:

  • Send you updates about METEOR, the European Union, or partners’ activities, programmes, events, or consultations.
  • Send you communications which you have requested and that may be of interest to you.

Who has access to your information?

Only authorised personnel have access to the information provided by our contacts. Our database is located in the EU.

We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes. Personal information is not, generally, shared with anyone outside the organisation.

All personal data in electronic format are stored on the servers of EuroHealthNet which is bound by the confidentiality obligations deriving from the General Data Protection Regulation (‘GDPR’ Regulation (EU) 2016/679).

Third Party Service Providers working on our behalf:

We occasionally may share your information with third party service providers or subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to process your registration to an event). However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service. Please note that we will not release your information to third parties for them to use for their own direct marketing purposes, unless you have requested us to do so, or if we are required to do so in order to comply with any legal or contractual obligation.

Your choices

You have the choice of receiving or not receiving communications from us. If you no longer want to receive communications from us, then you can unsubscribe or opt-out of any mailings. You can also contact us at any time to check what information we have about you, and to have your information removed from our system.

METEOR uses secure data networks that are protected by firewall and password protection systems that are consistent with industry standards.

Once we receive your information, we strive to ensure its security on our systems. Where we have provided (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential.

Profiling

We may analyse your professional information to create a profile of your professional interests and preferences so that we can contact you with information relevant to you. We may make use of additional information about you when it is available from external sources to help us do this effectively. For example, if we know that you work on the topic of air pollution, we will send you information about related initiatives.
